Mobile Bar Terms and Conditions

Backstage Warehouse Mobile Bar (BWMB) provides several packages for its services to our clients (Customers, event organisers, any other organisations using our services)


All Inclusive Package - All Inclusive which comes at a cost of £35.00 per adult including VAT (18+). The cost also applies for non-drinkers. Children and young adults up to the age of 17 drink for free with our All-Inclusive package.

For operational purposes, each adult will be supplied with a wristband which MUST be worn to be served a drink. Service will be refused to anybody without a wristband. This is to monitor guest numbers supplied at time of booking. Wristbands will be issued by BWMB before the start of service,
with names being supplied by clients prior to bar service.

For excess guest numbers at any event £35.00 including VAT per adult will be deducted from booking deposit. BWMB also reserves the right not to refund where guest numbers fall under the amount given at time of booking. This is to cover stock already purchased by BWMB.

There is a full bar selection available for this package including spirits, wines, lagers, cocktails. Shots such as Tequila or Jager ARE NOT included in ALL INCLUSIVE and are chargeable at the bar at £3.50 a shot.

Guests will be served 1 drink at a time, for the instance of rounds this will be monitored by BWMB staff.

If a guest is seen to be drinking alcoholic drinks without a wristband, the client will be approached at the time. This is to again monitor guest numbers.

Please note that additional beverages such as welcome drinks, toast drinks or additional wine on tables are chargeable as extra. If the client wishes to provide their own welcome drinks, BWMB will assist in serving these at no extra cost.

THERE IS A REFUNDABLE DEPOSIT OF £300 REQUIRED FOR ALL INCLUSIVE PACKAGE


PAY AT BAR - This means that your guests will buy their own drinks. Prices range from £2.00 for a soft drink to £9 for a (premium) double spirit & mixer and £6 for a cocktail, subject to change.

A full price list is available on request.

There is a full bar selection available for this package including spirits, wines, lagers, cocktails, and shots.

Payment can be made via cash or by card. We also accept Apple & Samsung pay.

There is a £300 refundable minimum spend deposit, which is returned when £300 has been spent on the bar. Any shortfall (ie £250 spent behind the bar, £50 of deposit will be withheld by BWMB)

PLEASE NOTE THAT NO OUTSIDE ALCOHOL IS TO BE BROUGHT INTO A VENUE PROVIDING THE PAY AT BAR SERVICE. TABLE WINE/PROSECCO ETC CAN BE PURCHASED FROM LMB PRIOR TO THE EVENT. IF OUTSIDE ALCOHOL IS SEEN TO HAVE BEEN BROUGHT IN, LMB RESERVES THE RIGHT TO WITHOLD £300 MINIMUM SPEND DEPOSIT RETURN, EVEN IF MINIMUM SPEND IS MET.

ALL INCLUSIVE PACKAGES CAN BE MIXED WITH PAY AT BAR, WITH ANY NON-WRISTBAND BUYING THEIR OWN DRINKS. BWMB WILL MONITOR WRISTBAND GUESTS ATTEMPTING TO OBTAIN DRINKS

FOR NON-WRISTBAND, AT RISK OF FORFEITURE OF DEPOSIT.


Deposit & Hire Fee
A £300 refundable deposit is required for ALL INCLUSIVE.
A £300 refundable minimum spend deposit is required for PAY AT BAR

THERE IS NO HIRE FEE TO PAY!

BWMB accepts that accidents do happen, so will not charge for minimal glass breakages, unless deemed intentional and/or excessive.

Deposit must be paid in full at time of booking to secure a date.

Paying for ALL INCLUSIVE PACKAGES

To allow flexibility and affordability, when choosing All Inclusive payment plans can be agreed at time of booking.

The full balance must be paid IN FULL 1 WEEK (7 DAYS) before your event takes place. Where full payment is not received BWMB reserves the right to cancel booking without refund of any deposit, or monies already paid.

BWMB takes payment via 3 methods:


• Bank transfer

• Direct Debit

• A secure payment link sent to mobile device or email that can be paid with debit/credit card.


WE WILL ISSUE VAT INVOICES VIA EMAIL FOR ALL PAYMENTS MADE


Cancellation & refunds

BWMB reserves the right to deny a refund of Hire Fee, Deposit & any paid payments made where an event is cancelled within 60 calendar days of an event taking place. This includes suspension of service during an event.

Our drinks menu

BWMB like to personalise your drinks menu, serving the brands or cocktails that you like. Depending on what All Inclusive package you have purchased we would only supply house level spirits and drinks
such as Smirnoff, Bacardi, Peroni & Strongbow. This list is not exhaustive.
Drinks menus can be discussed with clients at time of booking.
BWMB will make all attempts to provide adequate stock for the number of guests. There may be times where a brand is favoured, and we may run out. It is the client’s responsibility to inform BWMB where a brand would be popular, so we provide enough.


Licensing Act 2003

BWMB and its staff follow the Licensing Act 2003 and carries out ID checks on individuals that may look under 18. It is the clients responsibility to ensure their guests carry ID. BWMB reserves the right to refuse alcohol to those who do not have ID. Any person without ID who is on ALL INCLUSIVE will be
downgraded to a “soft drinks wristband” without refund.
Any drinks found to be in possession of somebody under the age of 18 or without valid ID will have drinks confiscated.
If a person is deemed to be intoxicated BWMB reserve the right to refuse service.

Abusive, violent, and threatening behaviour towards any of BWMB staff and/or to guests will not be tolerated and local authorities may be called.

It is the client’s responsibility to ensure ALL GUESTS are well behaved.

IF ANY PERSONS ARE FOUND TO BE OR SUSPECTED OF TAKING ILLEGAL SUBSTANCES, BWMB RESERVE THE RIGHT TO IMMEDIATELY SUSPEND ALL SERVICE, LOCAL AUTHORITIES WILL BE CALLED AND ALL
PAYMENTS MADE WILL BE NON-REFUNDABLE.

Access to venues

BWMB requires that we would have at least 1 parking space available at the venue, preferably with good access to restock bars, and for loading and unloading our van. We would also need sufficient time to set up ready for service. This is normally around 60-90 minutes.

Glassware

For most of our events we would use glassware to serve. Where venues do not have facilities to wash and sanitise glassware, we would use disposable and recyclable glasses. We would work together with clients to use glassware as much as possible.

Complaints

BWMB takes customer service very seriously. If you are unhappy with our service at any time from booking to the evening of the event, please let us know so we can rectify.

Acknowledgement

BWMB considers any payment for hiring our services as FULL ACKNOWLEDGEMENT of agreeing to our Terms & Conditions.
